AI procurement playbook
A procurement AI playbook gives sourcing teams a controlled way to use AI for intake, research, vendor comparison, RFP support, and decision preparation.
Where AI helps procurement
AI is useful when procurement teams have too much material to summarize consistently: requirements, proposal responses, meeting notes, pricing assumptions, security questionnaires, and stakeholder feedback.
The playbook should keep AI in an analytical support role. It can organize facts, draft questions, compare responses, and highlight gaps, but it should not award suppliers or replace sourcing judgment.
Recommended workflow
- Define the buying objective, constraints, and evaluation criteria.
- Prepare approved source materials and remove data that should not be uploaded.
- Use AI to summarize each source separately before asking for comparison.
- Create a human-reviewed scorecard and clarification log.
- Document assumptions, open questions, and final evaluator notes.
